Before you begin
When an invitation conflicts with another activity, you can suggest an alternative rather than ignore it. Prepare a realistic option and check the event duration. A proposal does not immediately change the organizer's schedule, so follow-up responses still matter.
Check the account and calendar name before changing a schedule. Personal, family and work calendars can appear together even though their ownership and permissions differ. Compare the date, location and time with the actual invitation or agreement. For shared events, changing the event time and changing a reminder have different effects; settings on your phone do not automatically change every guest's preferences.
Follow these steps
Follow this sequence in the Android app.
- Open the invitation in Calendar and inspect the time, duration and information provided by the organizer. Check nearby activities before deciding on a replacement time that is actually workable.
- Open the response arrow beside Maybe and choose Propose a new time. Use this option for an invitation that supports a proposal rather than attempting to edit the organizer's event directly.
- Choose the alternative day or time and add a short explanation if needed. Explain the scheduling conflict without including private information unrelated to arranging the shared activity.
- Send the proposal and watch for the organizer's response or a revised invitation. Do not treat successful submission of the proposal as confirmation that the meeting has already moved.
Check the result
Time proposals are unavailable for all-day events and events with more than 200 guests. A response note can be visible to all guests, so word it appropriately. If the option is absent, contact the organizer through your agreed communication channel.
