Game or app image: Archive Gmail messages and find them again

Before you begin

Archiving clears space in the inbox view without deleting a conversation. Use it for mail you have finished handling but still need to keep. Try one message first so the difference between Archive and Trash is clear before changing many messages.

Check the profile picture in Gmail to confirm the active account. Work and personal accounts can hold different messages and settings. Start with one message you recognize before applying a change to many emails. For work correspondence, inspect recipients, attachments and the conversation context so that organizing the inbox does not disrupt communication you still need.

Follow these steps

Follow this sequence in the Android app.

  1. In the Gmail message list, touch and hold a completed conversation. Inspect the selection before adding more messages, so mail with an unresolved task is not included by accident.
  2. Tap Archive at the top. The message leaves the inbox, but this is different from deleting it. Check the selected action's icon before applying it to a large group of messages.
  3. Open Gmail's menu and choose All mail. Find the conversation by its subject or sender, then open it to confirm that the message and its attachments are still available.
  4. If the conversation needs to return to the inbox, select the archived message, open More and choose Move to Inbox. Check the main list again before continuing with other mail.

Check the result

A new reply can bring an archived conversation back to the inbox, so reappearance does not necessarily mean archiving failed. Archive organizes the inbox view; it should not be treated as a way to reduce all the storage occupied by email.
