Before you begin
A signature identifies the sender without requiring the same closing text every time. Keep it short enough to read comfortably on a phone. Avoid including a home address or other personal information that ordinary recipients do not need.
Check the profile picture in Gmail to confirm the active account. Work and personal accounts can hold different messages and settings. Start with one message you recognize before applying a change to many emails. For work correspondence, inspect recipients, attachments and the conversation context so that organizing the inbox does not disrupt communication you still need.
Follow these steps
Follow this sequence in the Android app.
- Open Gmail's menu and scroll to Settings. Select the Google account that should use the signature; a work account's details should not accidentally be applied to personal correspondence.
- Choose Mobile signature and enter your name, current role and intended contact details. Check spelling and numbers carefully before saving, because the text will be reused in later messages.
- Save with OK, then compose a test email from that account. Inspect its closing section before sending so the signature does not duplicate information you have already typed into the message.
- Send a test to your own address if you need to inspect the received result. Open that message and check blank lines, separation of the name and whether the contact details are readable.
Check the result
The mobile signature applies to messages sent from the Gmail app. If it has not been created there, new messages can use the signature prepared on a computer. Check the result on the intended device, particularly when your desktop work signature has different formatting.
