Before you begin
Work notes, shopping ideas and personal reminders can become mixed on the main screen. Labels organize related material while pins make current notes easier to reach. Use each for its own purpose so that every note does not appear equally urgent.
Check the active Google account in Keep before creating or changing a note. Give it a title that describes its contents rather than only a date or the word note. Read important text after typing to catch incorrect numbers and names. Personal and shared notes need different care because people with access may see changes to shared contents.
Follow these steps
Follow this sequence in the Android app.
- Open the note to organize, then choose its action menu and Labels. Select an existing label or create a name that clearly describes the activity represented by the group.
- Return from the settings and check the label at the bottom of the note. Use the same spelling for related notes so a single group is not split across several similar names.
- Open a note you need soon and tap Pin. Inspect the main Keep screen to confirm that this important note can be found without searching through the full collection.
- Review pinned notes once the task is complete. If a group changes, manage its name through Keep's menu and Edit beside Labels, then check that the replacement remains understandable.
Check the result
Labels, colors and pins on shared notes are personal organization settings; collaborators do not automatically see your arrangement. A label change is not a substitute for communicating with them. Choose a small set of useful labels and apply them consistently to new notes.
